PRIMARY RESPONSIBILITY

Responsible for performing administrative and clerical duties for individual(s) in an organization. Uses automated office equipment such as a computer to compose and type routine letters, reports and other materials. Maintains alphabetical, numerical or subject filing systems. Screens calls and takes messages. Assists in the preparation of reports, graphs, and presentations using spreadsheet and graphic software. Acts as an information source on organization policies and procedures. Makes appointments and travel arrangements. May assist in establishing office policies and procedures, and coordinates special projects and department activities.

 

LEVELING REQUIREMENTS

Entry Level: Works on assignments that are routine in nature where limited judgment is required. Normally receives detailed instructions on all work. Requires typing, basic reading, writing, addition and subtraction skills. Completion of high school, vocational training, or equivalent is preferred.

Intermediate Level: Works on assignments that are semi-routine in nature where ability to recognize deviation from accepted practice is required. Normally receives general instructions on routine work, detailed instruction on new assignments. Requires secretarial experience, typing, reading, writing and basic arithmetic skills. Completion of high school, vocational training, or equivalent is preferred.

Senior Level: Works on assignments that are moderately complex in nature where judgment is required in resolving problems and making routine recommendations. Normally receives no instruction on routine work, general instructions on new assignments. Requires secretarial experience, typing, reading, writing and arithmetic skills. Completion of high school, vocational training, or equivalent is preferred.

Highly Skilled Level: Works on assignments that are complex in nature where considerable judgment and initiative are required in resolving problems and making recommendations. May determine methods and procedures on new assignments and may provide guidance to other nonexempt personnel. Requires advanced secretarial experience, typing, reading, writing and intermediate arithmetic skills, and the ability to use specialized equipment, read difficult instructions, and maintain written records. Completion of high school, vocational training, or equivalent is preferred.
